    Payslip Delivery & Employee Access

How payslips reach employees by email, WhatsApp and SMS, plus the employee self-service portal.

Who this is for: Employers, payroll administrators, employees

    Lesson 1·8 min

    Delivery channels

Email, WhatsApp, SMS and the employee portal — choose what works for your workforce.

    Channels

Payslips can be delivered automatically once a run is approved:

    • Email — PDF attached or linked, depending on company settings.
    • WhatsApp — a secure link is sent to the employee's registered number.
    • SMS — a short message with a link for employees without WhatsApp or email.
    • Employee portal — staff can log in and download current and historic payslips at any time.

    Delivery tracking

Each send is recorded in the audit log with the channel, timestamp and result, so you can see whether a payslip was delivered, opened or failed.

    Password protection

When enabled, PDFs open with the employee's ID or passport number. Portal links expire automatically and can be revoked if a device is lost.

    Lesson 2·8 min

    The employee self-service portal

What employees can do themselves, and how managers stay in control.

    What employees see

Employees log in to view and download payslips, IRP5 certificates, leave balances and claim status. They can apply for leave, submit claims and request changes to personal or banking details.

    Approval routing

Every request is routed to the right manager or payroll administrator. Nothing changes until it is approved, and every action is written to the audit log.

    Mobile friendly

The portal works on phones, tablets and desktops. Employees without a computer can use WhatsApp or SMS self-service instead.

    Security

Employees can only see their own data. Row-level security enforces this in the database, not just the interface, and every document access is logged.

    Lesson 3·6 min

    Employment verification and consent

Confirming employment status without exposing personal data unnecessarily.

Employment verification requires the employee's consent. The employee receives a request, sees exactly what will be shared, and approves or declines.

    What is shared

Typically: employment status, job title, start date, and — only where the employee consents — income band or gross remuneration. Nothing more is disclosed.

    Employer control

Employers can disable employment verification entirely, or restrict it to specific trust levels, under company settings.

    POPIA alignment

Requests, consents, disclosures and refusals are all logged, giving both employer and employee a defensible record of who saw what.
