Who operates this service

Payroll Africa is operated by Payroll Africa Technologies (Pty) Ltd, a private company registered in South Africa. Payroll Africa Technologies (Pty) Ltd is the responsible party for personal information processed through this site and the application. If you are unsure who that is, email sales@payrollafrica.co.za.

What information we collect

We collect the information that you or your employer provide in order to run payroll and employee self-service. This includes names, contact details, ID or tax numbers, banking details, salary and leave data, and account activity. We also collect log data and technical identifiers needed to operate the service and respond to support requests.

How we use information

We use the information to provide payroll processing, payslip generation, tax calculations, employee self-service, leave tracking, billing, and customer support. We do not sell personal information to third parties or use it for advertising outside the service.

Hosting and subprocessors

Payroll Africa is built on a managed cloud platform and database infrastructure. The current hosting and subprocessors include the platform provider, payment processor (Yoco), and messaging services (Twilio for email and WhatsApp delivery). A full list of subprocessors is available on request.

Shared responsibility: The platform provider is responsible for infrastructure security, uptime, and database availability. Payroll Africa is responsible for application-level access controls, data handling, tenant isolation, and support practices.

Cookies and analytics

We use essential cookies for authentication, security, and session management. Analytics or marketing cookies are used only if they are enabled in the application and are described in the cookie notice or consent controls when present.

Retention and deletion

Account and payroll data are retained while the subscription is active and for a limited period after cancellation to support reactivation, legal obligations, and dispute resolution. See the cancellation policy for the current retention period. You may request deletion of specific data by contacting us.

Your privacy choices

Depending on your location and role, you may have the right to access, correct, export, or delete your personal information. Employees should contact their employer administrator first. Account owners and administrators can contact us directly.

Security and incidents

We use role-based access control, tenant-scoped data queries, audit logs, and encrypted connections to protect the service. If you discover a security issue or suspect a data breach, please report it to sales@payrollafrica.co.za as soon as possible.
