Employee self-service for South African employers
Employee self-service (ESS) lets staff get their own payslips, IRP5 certificates and leave balances, apply for leave and update their details without going through HR. In Payroll Africa, ESS is included in every plan and available through a secure web portal, an installable mobile app and WhatsApp.

What employee self-service replaces
In most South African companies, a payroll administrator spends a meaningful share of every month answering the same four questions: where is my payslip, how much leave do I have left, can I get an IRP5 for my bond application, and can you change my bank details. Each one is an interruption, and each one is also a small compliance risk if the answer is emailed as an unprotected attachment.
Self-service moves those requests to the employee. The administrator's month becomes running payroll rather than distributing it, and every document access is logged against the employee who opened it.
- Payslips for the current and all historic periods
- IRP5/IT3(a) certificates once the tax year is finalised
- Live leave balances by leave type, with the accrual behind them
- Leave applications routed to the correct approver
- Personal, contact and banking detail changes with an approval step
- Employment confirmation letters generated on demand
ESS on WhatsApp
Portal logins fail in workforces where staff do not sit at a computer — farms, packhouses, cleaning, security, retail and hospitality. WhatsApp is already installed, already understood and works on the cheapest handset, which is why Payroll Africa delivers payslips and IRP5s over WhatsApp with a delivery receipt against each one.
Payslips are sent as PDFs carrying a QR code that any bank, landlord or lender can scan to verify the document against our records without contacting HR at all.
- Payslip delivery by WhatsApp, SMS or email with delivery tracking
- QR-verified payslips a third party can validate independently
- No login required for delivery — works on any handset
- Bulk send for the whole company or a single payroll group
Security and access control
Self-service widens the number of people touching payroll data, so the controls have to be tighter, not looser. Every employee sees only their own record, enforced at the database level rather than in the interface, and sensitive changes never take effect silently.
- Row-level security — an employee can only ever read their own data
- Multi-factor authentication available on every account
- Banking detail changes require approval and are written to the audit log
- Field-level audit trail showing who changed what, when, and from what value
- Document access logged per employee and per download
What it costs
Most South African payroll vendors sell ESS as a per-employee add-on module on top of the payroll licence. Payroll Africa includes it in the standard price — R90 a month for two employees, R401 for ten, R1,712 for fifty — along with leave, timesheets, shift scheduling, performance and recruitment.
