    Terms of service

    These terms apply to your use of the Payroll Africa payroll software and website, operated by Payroll Africa Technologies (Pty) Ltd.

    App-owned terms

    This terms page is maintained by Payroll Africa Technologies (Pty) Ltd (trading as Payroll Africa) to describe how the service may be used. It is not legal advice. Please review it with your legal counsel if you need a binding interpretation for your organization.

    Acceptance of terms

    By signing up, accessing, or using Payroll Africa, you agree to these terms with Payroll Africa Technologies (Pty) Ltd. If you do not agree, do not use the service. If you are using Payroll Africa on behalf of a company, you represent that you have authority to bind that company.

    Service description

    Payroll Africa provides payroll processing, employee management, payslip generation, tax calculations, leave tracking, and related reporting tools. The service is provided as-is and is intended for use by registered companies operating in South Africa, unless otherwise agreed in writing.

    Accounts and subscriptions

    You must provide accurate information when creating an account. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. Subscriptions are billed according to the plan selected at sign-up or upgrade. Free trials convert to paid subscriptions unless cancelled before the trial ends.

    Payments and billing

    Payments are processed by our payment provider. By providing payment details, you authorize us to charge the applicable fees. Fees are non-refundable except as described in the refund policy.

    Your responsibilities

    You are responsible for the accuracy of employee, banking, and tax information you enter. You must use the service lawfully and may not attempt to bypass security, access another tenant's data, or interfere with the platform. You agree to keep your payroll records and tax submissions compliant with SARS and other applicable authorities.

    Data ownership and confidentiality

    You retain ownership of your company and employee data. Payroll Africa will use this data only to provide the service and support, in accordance with our privacy policy. We will not disclose your data to third parties except as required by law or as needed to operate the service.

    Termination and cancellation

    Either party may terminate the service. You may cancel from the billing settings page. We may suspend or terminate access for non-payment, misuse, or violation of these terms. Our cancellation and data retention terms are described in the cancellation policy.

    Limitation of liability

    Payroll Africa is not responsible for payroll errors caused by incorrect data entered by users, third-party payment or messaging failures, or changes in tax law. You are responsible for verifying SARS tax tables, statutory submissions, and bank payments before they are finalized. To the extent permitted by law, liability is limited to the amount paid for the service in the twelve months before the claim.

    Governing law and disputes

    These terms are governed by the laws of South Africa. Any dispute will first be attempted to be resolved through good-faith negotiation. If that fails, the parties agree to the exclusive jurisdiction of the courts of South Africa.
